Excel is the unofficial CRM of Australian small business. Walk into virtually any SMB across the country and you'll find at least one spreadsheet tracking customer enquiries, another tracking quotes, and a third tracking unpaid invoices. It works — until it doesn't. When your spreadsheet has four people editing it simultaneously, version history breaks, and you've lost a deal because someone's row update didn't save, it's time to make the move.

Step 1: Clean Before You Migrate

Before importing anything, clean your data. Remove duplicate entries, standardise name formats (First Last consistently), ensure every contact has at least an email address or mobile number, and add a Contact Type column (Lead, Active Customer, Lapsed Customer, Supplier). This one afternoon of cleanup saves days of corrective work inside the new CRM and dramatically improves your data quality from day one.

Step 2: Map Fields, Import in Batches, Verify

RCRM accepts CSV imports with field mapping. Match your spreadsheet columns to CRM fields: Company Name, Primary Contact, Email, Phone, Last Contact Date, Deal Stage, Deal Value. Create custom fields for Australian-specific data: ABN, state/territory, and industry code.
